In addition to your website, emails, and social media posts, physical mailings can be an effective part of a communications plan for Reunion. Below, you’ll find different possibilities for mailings that are available to you, along with what you’ll need to provide to the College and the deadline for getting each one done.

Stationery

For class stationery, including email templates, postcards, and letterhead, the Publicity/Promotions Outreach Chair must submit the following information to the College by the end of September:

  • Class logo
  • Committee member names, titles, email addresses, and phone numbers
  • Desired layout of names and logo
  • Return address for physical mailings

Seasonal Communications

In October, February, and April, the Publicity/Promotions Outreach Chair should submit information for mailings and emails—as well as the text for the communications—to the College for their review. The text should include Reunion dates and other information to get classmates excited. Emails should be sent out via the class email account by one of the class officers through iModules. For paper mailings, the chair will also need to submit the following:

  • Desired paper type and color
  • Printing specs (ink color, double-sided requests, etc.)
  • Mailing class
  • Return address

Fall Communication

In the Fall communication, be sure to include information about the Reunion dates, the class theme, and anticipated events, including those planned by Dartmouth. It will be helpful to encourage classmates to update their contact information with the College, particularly email addresses, as many communications will arrive via email. Classes may publicize the web form dartgo.org/update as a way for classmates to update their information.

Winter Communication

In the Winter communication, reiterate the Reunion date and theme. Include a preliminary schedule and information about the kids program if it is applicable to your class. Feel free to use your creativity to get your classmates excited for Reunion.

Spring Communication

In your final big communication with your classmates, be sure to remind them of the Reunion dates and themes, as well as give information about the final schedule. Include a link to the “Who’s Coming” list on the Reunion website, along with any other information that will get your classmates excited about registering.

Clustered Reunions may find it helpful to collaborate with the other Reunion chairs in their cluster to send this mailing together.

Class Newsletters

In October and March, the Publicity/Promotions Outreach Chair should be in touch with the Class Newsletter Editor about including the Reunion dates, theme, and up-to-date schedule, along with other information to get classmates excited. For printed newsletters, an intentions card may also be included, as well as the name and address of the Class Reunion Committee member who will receive the cards.

The College offers a subsidy toward printing costs for a fourth newsletter for classes in a Reunion year. All four newsletters fall within the fiscal year (July 1 to June 30).

Dartmouth Alumni Magazine Class Columns

In November, January, March, and May, the Publicity/Promotions Outreach Chair should send a class column to the associate editor of the Dartmouth Alumni Magazine for inclusion in the issue. The text should include Reunion dates and other information to get classmates excited. Please note that the Dartmouth Alumni Magazine does not allow class logos or images in the class notes column.

College Mailings

In addition to the class mailings that go out in October, February, and March, the Volunteer Engagement team will send out a spring postal mailing to your classmates about Reunion.

After the College’s Reunion website goes live with preliminary schedules in mid-February and registration opens at the beginning of March, the College will mail a printed booklet with information about registration and housing. 

College Emails

At the beginning of March, the Volunteer Engagement team will email all Reunion classes letting them know that registration is open. In mid-April, the Volunteer Engagement team will send out a reminder email with registration information and other details as necessary. In mid-May, classes that are eligible for childcare will receive a reminder to register for childcare by the June 1 deadline.

One week before each Reunion begins, the Volunteer Engagement team will send a final email to each class, sharing tips and details for returning to campus. After Reunion, attendees will receive an email thanking them for attending and asking for their feedback on a Reunion survey.
